Agreements & fees
Our policies & terms
During our checkout process, we'll ask you to check a few boxes indicating you've read and agree to a few documents.
Those are:
(Don't worry, we'll give you links to re-read these during checkout.)
We'll also require a copy or image of your drivers license.
You can upload a photo of your drivers license during checkout or we can just snap a pic when we deliver the gear.
These agreements and policies are to cover us in the event that someone decides to rent our gear "forever" while only paying for a couple nights or if equipment is trashed beyond repair with no attempts to communicate.
In the event we find damage, missing gear, or anything that would warrant an extra fee, our first course of action will be to contact you directly.
Everyone in our company are avid campers and outdoor enthusiasts and we know firsthand that things happen. We'll work with you on any issues that arise.
Payment information and how we handle fees
When you agree to our terms and rent gear from Cool Camp Rentals, you agree to let us retain your payment information for up to 3 days after your gear is returned.
As mentioned just above, if anything that would warrant an extra charge arises, our first course of action will be to contact you. If an additional fee is ultimately required, we will notify you first and give you the opportunity to change payment methods or schedules to the best of our abilities.

When we camp, we want to get to the good stuff as quickly as possible
When you're camping with a group (especially with kids!), the last thing you want is to spend a whole day working just to setup camp.
We prioritize gear with "instant" intuitive setup that has shade over your head and a clean spot to stash your gear in minutes instead of hours.
Comfortable with room to move
While lightweight and compact gear definitely have their place, we prioritize comfort and accommodation when camping with friends and family or taking a weekend to beat the brutal heat.
Extra space in the cooler, more shade coverage, and room to actually move around in the tent. It might weigh a few more pounds and take up some more space in the trunk or truck bed, but we think it's well worth the added comfort and choose our gear accordingly.
Your camp, your way
We build our core kits to provide the most critical structures and equipment first while allowing you to choose everything else based on personal preference.
Glam it up and have everything you want delivered to your door or just get the basics and use the equipment you already own for a more budget minded trip.
We hate fees too
Tips to avoid damage and extra charges.
Nobody likes added fees or unexpected charges, that includes us. Here are some tips to avoid any issues and ensure a smooth return.
Tie Everything Down
If it has guy lines, or dangling bundles of rope attached, use them. Wind can and will pick up quickly regardless of location. The last thing you want to spoil your camping trip is your tent, canopy, or screen house blowing over in the night or taking off into the sunset thanks to an unexpected gust of wind.
Take pictures
After fully setting up your gear and before unpacking personal belongings, take pictures of your camp and anything that might seem like damage. A few quick pictures of everything tied down and setup as directed is a cheap insurance policy if anything outside of your control occurs.
Observe before unpacking
To avoid tearing bags and zippers or breaking/bending gear as you repackage it, observe how they are packaged as you take them out and put them together. Taking pictures of how things are packaged can also be helpful if something contains many pieces or seems like it might be difficult to break down later.
If something just won't go back in its bag, case, or closed position feel free to just bring it back the best you can without causing damage to avoid any fees.
Don't force it
None of the gear we offer takes muscle to setup, open, or close. If you have to put some real strength into it (unless otherwise noted on the item itself), something is probably wrong, stuck. or jammed. Back up, put it back, and restart.
Zippers should be easy to move, use caution if one gets jammed or stuck as it is usually a bit of fabric or other material caught on one side or the other. Back up, clear the zipper, and try again.
Manage heat, fire, and propane safely
Use caution and common sense when using any heat source, especially when under or inside a structure. Never cook inside a tent or structure and use caution with heat rising when under or near trees, a canopy, or screen house.
Always observe local fire restrictions and only use propane when in effect. The fines and punishments for failing to follow these bans can be significant.
Dirt & mud is ok, bodily waste or fluids are not
Camping can be dirty. This is obvious and expected. Human or animal waste of any kind is not and will incur additional fees if the presence of human or animal bodily fluids or waste is present on any item. Yes, we actually have to be explicit about this.
